How Bookkeep Handles Deleted Shopify Orders
Overview
If a Shopify order is deleted after it was originally recorded, Bookkeep automatically detects this change and updates your accounting entries accordingly. This ensures your books always stay accurate and aligned with your live Shopify data.
What Happens When an Order Is Deleted in Shopify
When an order is deleted in Shopify:

Bookkeep identifies the deleted order the next time it syncs with your Shopify account.

The system then reruns the accounting for the original sale date and removes the deleted order’s sales data from that day’s entry.

This ensures that your daily sales totals reflect only valid, existing Shopify orders.
Which Orders can be Deleted in Shopify
Deleted orders are removed from your Shopify admin and are no longer tracked in reports.
Only the following order types can be deleted:

orders that were paid with a manual payment method
-
orders that started as a draft and were then marked as paid
-
test orders that were paid with the Bogus Gateway, or with Shopify Payments in test mode
-
orders that were imported through the Shopify API
Before you can delete an order, it must be archived or canceled. Orders where payment has been paid for with a gift card can be archived, but not deleted.
Impact on Shopify Finance Summary and Bookkeep
Deleted orders are automatically excluded from Shopify’s Finance Summary reports.
Since Bookkeep bases its daily entries on the Shopify Finance Summary, those deleted orders:

Will not appear in Bookkeep’s calculations, and
-
Will no longer affect your accounting entries, as the order no longer exists in Shopify.
Automation and Data Accuracy
Bookkeep includes automation to handle these updates automatically:

If an order that was previously synced is later deleted, Bookkeep will automatically adjust or remove the affected entries during the next sync.

You do not need to take any manual action — your entries will stay accurate and in sync with Shopify.
