Shopify: Exclude Orders by Tender Type

Some Shopify orders are already accounted for somewhere else. A common example is Global-E: cross-border orders paid through Global-E are settled by Global-E, and many businesses book them from Global-E's own statements. If Bookkeep also posted those orders from Shopify, the same sales would be recorded twice.

The Exclude orders by tender type setting tells Bookkeep to leave those orders out of your Shopify journal entries.

How to set it up​

  1. Go to Connections > My Apps and find your Shopify connection.
  2. Click Configure.
  3. In Exclude orders by tender type, search for and select each tender type to exclude (for example global-e payments and global-e onsite payments).
  4. Click Save.

The list shows the tender types your store has taken payments with in the last 12 months, named as Shopify names them, in lowercase. A tender type first used today can take up to a day to appear. To stop excluding a tender type, remove it from the list and save.

Once saved, the connection card on Connections > My Apps shows an Excludes line listing what is being left out, in title case (for example, Excludes Global E Payments Orders).

Which orders are excluded​

An order is excluded when any of its transactions, including failed payment attempts, used a selected tender type. An order paid partly with Shopify Payments and partly with an excluded tender type is excluded in full, along with its refunds. Its Shopify Payments portion still reaches your payout deposit (see below), so for these orders the deposit will not be offset by a matching sale.

Where it applies​

  • Every segment. The setting lives on the main Shopify connection, and every channel, app and country segment under it follows it. Segments do not show the setting.
  • Sales, Ecommerce and COGS journal entries. Excluded orders are left out of the Shopify Sales and Shopify Ecommerce journal entries, and out of Shopify COGS when COGS is recognized on the order date.
  • Not payout deposits. Shopify Payments deposit journal entries still include the payments, because they record what Shopify actually paid out to your bank.
  • Not fulfillment-based recognition. Fulfillment revenue recognition, and COGS recognized at order fulfillment, still include excluded orders.
  • Not Shopify Cash Drawer. Cash drawer journal entries are unaffected.

Past dates​

The setting applies to journal entries generated after you save it. To apply it to dates that were already posted, refresh the relevant entries from Activity.
