Bookkeep Inventory FAQ

How long can I still export data from Stocky?

Shopify keeps Stocky read-only for exports for at least 90 days after it shut down on August 31, 2026. Export your completed purchase orders, stocktakes, adjustment history, and the variant report with average cost before that window closes.

Can Bookkeep still import from Stocky's API?

Shopify turned off Stocky's API on August 31, 2026. If you need your suppliers and purchase order history, ask Shopify Support for a working Stocky API key, paste it under Settings → Purchase orders, and we'll attempt the import.

Can I bring over my Stocky suppliers?

Yes. The Stocky import brings every supplier across with its contact details, and you can add more by hand or upload a CSV on the Suppliers page.

Can I use my Shopify vendors as suppliers?

A vendor is who makes the product; a supplier is who you buy it from, so Bookkeep keeps them separate. A new vendor in Shopify does not create a Bookkeep supplier. Add a supplier from a purchase order's supplier picker with + Create new supplier, or upload a CSV on the Suppliers page.

Why do I have two suppliers for the same company?

Stocky tracked it under both a supplier ID and a vendor name. See Vendors and suppliers.

Do imported purchase orders keep line-level costs?

Yes. Every line keeps its own unit cost, so your per-SKU cost history comes across intact.

How far back does the Stocky import go?

All the way. The import brings your full supplier list and purchase order history, with no date limit.

How long does the Stocky import take?

Under a minute for a typical store, for both imports.

What happens to purchase orders that were still open in Stocky?

They import as read-only records. Click Duplicate to turn one into a Bookkeep purchase order, then lower each line to the quantity still outstanding before you receive it.

Can I start creating purchase orders right away?

Yes. There's no cutover date, so you can create, order, and receive purchase orders as soon as your store is connected.

Does my Stocky stocktake export show expected and counted quantities?

Yes. Stocky's stocktake CSV includes expected stock, counted stock, and adjustment totals, and each stocktake is run for one location. Bookkeep doesn't import stocktakes, so keep these files for your records.

Can I keep FIFO costing?

No. Bookkeep Inventory uses weighted average cost (WAC), the same method Stocky used, so each variant starts from its Stocky average cost and every receipt blends in from there.

Is weighted average cost tracked per location?

No. Each variant has one WAC across every location in a store, matching Shopify's single cost per item.

I never used Stocky. How do I set opening costs?

Send us a CSV with each variant's Shopify ID and average cost, and we'll load it as your opening cost. Without one, WAC starts at your first Bookkeep receipt.

Do I need to export the variant CSV the same day I import it?

No. Only average cost is used, so nothing in the file goes stale.

What if I already started receiving in Bookkeep before loading the CSV?

Load it anyway. The seed backdates and the ledger recalculates as if the opening cost had been there all along. This corrects your cost records in Bookkeep; it does not retroactively change Shopify.

What happens to CSV rows whose supplier I have not imported?

The cost baseline is still seeded. Only the supplier catalog price is skipped for that row.

Why doesn't my WAC match the average of my purchase prices?

WAC is weighted by quantity and uses landed cost, not the price on the PO line. A receipt of 10 units at $3.00 with a $1.00 per unit discount contributes $2.00 per unit.

Does Stocky's shipping carry into landed cost?

No. Imported purchase orders keep each line's unit cost, and Stocky's shipping and adjustments stay on the record for reference. Add freight and duties as fees when you receive in Bookkeep.

Why isn't my vendor in the bill's Vendor list?

The list shows active vendors from your connected QuickBooks company. Add or reactivate the vendor in QuickBooks, click Refresh vendors, and tick Include inactive vendors if it's still missing.

Can I bill a purchase order before it's fully received?

No. A bill is created once every line on the purchase order has been received.

Does the bill fill in the vendor, bill number, and due date for me?

The bill screen shows the purchase order's supplier, invoice number, and payment terms beside the form. You pick the QuickBooks vendor and enter the bill number and due date.

Can each purchase order use a different bill-to address?

No. Bookkeep uses one bill-to address, set under Settings → Printouts, where the Printed note prints on every purchase order and suits standing shipping instructions.

Can I tell whether my emailed purchase order arrived?

Bookkeep sends it and switches the button to Resend, but doesn't show delivery or open status. If you need a delivery record, download the PDF and send it from your own email.

What can't I do when receiving in Shopify POS?

Rejections, landed costs, cost edits, unplanned items, and voids happen on the receive screen in Bookkeep's web app. See Receiving in Shopify POS.

How do I return goods to a supplier?

Bookkeep has no return-to-supplier document. If you received the wrong quantity, void the receipt and receive again; for goods already on the shelf, adjust the quantity in Shopify.

Can I do stocktakes or adjust quantities in Bookkeep?

No. Bookkeep changes Shopify quantities only through purchase orders, so run counts and adjustments in Shopify.

How should I record shrinkage found in a count?

Expense it in the period you find it. Adjust opening inventory only to correct a known error in your starting balance.

Do my Stocky adjustment reasons carry over?

Not reliably. Reason codes and staff attribution on Stocky adjustments may be lost once they're written to Shopify, and the Stocky import doesn't bring adjustments into Bookkeep. If you need that audit trail, export your adjustment history from Stocky.

Can I see who adjusted inventory?

Yes, in Shopify. Its adjustment history shows the staff member, app, or sales channel behind each change, and View Movement in a purchase order line's details opens it for that item and location.

Does Bookkeep see my Shopify transfers?

Only the ones it creates. Transfer mode sends each ordered purchase order to Shopify as a transfer and records the receipt when the store accepts it; transfers you start in Shopify stay in Shopify. Contact us to turn it on.

Is there a low-stock or reorder report?

Not today. Filter the Inventory on Hand report under Reports by location and supplier, then build your purchase order or import its lines from a CSV.

Can I see every receipt for an item, or across all purchase orders?

Open Bookkeep Item Report from a purchase order line to see that item's receipts. For receipts across every purchase order, use the Bookkeep API with a scoped key from Settings → API keys.

Does Bookkeep handle special orders for a customer?

No. Order the item on a regular purchase order and record the customer in the line's Line Note.

Can one purchase order cover locations owned by different entities?

A purchase order belongs to one Shopify store, and its bill posts to one QuickBooks company. If one store runs several entities, purchase orders work at the parent-company level, not per entity.

When does my trial end?

Settings → Billing shows how many days are left. When the trial ends, Bookkeep asks you to choose a plan before you continue.
