Connect NetSuite to Bookkeep for Payout Deposit Matching
This guide walks through connecting your NetSuite account so that Bookkeep can post your daily sales and reconcile your payouts into bank deposits. The setup takes about 25 minutes and requires a NetSuite Administrator.
Payout deposit matching needs a different set of NetSuite permissions than a standard sales-only connection. In particular, the role needs Deposit at level Full, view access to customer payment and refund transactions, and REST Web Services enabled. If you only need daily sales summaries posted, see How to Connect NetSuite to Bookkeep.
By the end you will have five values to paste into Bookkeep:
| Value | Where you get it |
|---|---|
| Account ID | Step 6 |
| Consumer Key | Step 7 |
| Consumer Secret | Step 7 |
| Token ID | Step 8 |
| Token Secret | Step 8 |
1. Enable the NetSuite features
Go to Setup > Company > Enable Features and click the SuiteCloud subtab. Tick all three, then Save:
- Under Manage Authentication: Token-Based Authentication
- Under SuiteTalk (Web Services): SOAP Web Services
- Under SuiteTalk (Web Services): REST Web Services
You can tick all three before saving.
2. Create the Bookkeep role
Go to Setup > Users/Roles > Manage Roles > New and name the role, for example bookkeep_sync. A dedicated role is required because NetSuite does not allow access tokens for the Administrator role.
On the Permissions > Transactions subtab, add each of these:
| Record type | Level |
|---|---|
| Customer Deposit | View |
| Customer Payment | View |
| Customer Refund | View |
| Cash Sale | View |
| Cash Refund | View |
| Credit Memo | View |
| Return Authorization | View |
| Deposit | Full |
| Sales Order | View |
| Invoice | View |
| Find Transaction | Full |
| Make Journal Entry | Full |
3. Add the list permissions
On the same role, open the Permissions > Lists subtab and add:
| Permission | Level |
|---|---|
| Accounts | Full |
| Subsidiaries | View |
| Classes | View |
| Departments | View |
| Locations | View |
| Customers | View |
| Currency | View |
| Items | View |
| Tax Records | View |
| Contacts | View |
| Custom Record Entries | View |
| Documents and Files | View |
| Vendors | View |
4. Add the setup permissions
On the same role, open the Permissions > Setup subtab and add the following, then Save the role:
| Permission | Level |
|---|---|
| Access Token Management | Full |
| User Access Tokens | Full |
| SOAP Web Services | Full |
| REST Web Services | Full |
5. Assign the role to a user
- Go to Setup > Users/Roles > Manage Users.
- Find the employee this connection will run as, and click Edit.
- Open the Access > Roles subtab.
- Choose the role you just created in the Role field and click Add.
- Click Save.
6. Get your Account ID
- Go to Setup > Integration > SOAP Web Services Preferences.
- Copy the Account Number. This is your Account ID.
7. Create the integration record
- Go to Setup > Integration > Manage Integrations > New.
- Give it a name, for example
Bookkeep. - Set State to Enabled.
- Open the Authentication subtab and tick Token-Based Authentication. Also tick REST Web Services if it appears here. Untick OAuth 2.0 if it is on.
- Click Save.
- Copy the Consumer Key and Consumer Secret from the confirmation page and keep them somewhere safe.
The Consumer Key and Consumer Secret are shown only once. If they are lost, you will need to generate a new set.
8. Create the access token
- On your NetSuite home page, under Settings, click Manage Access Tokens.
- Click New My Access Token.
- Under Application Name, choose the integration you created in step 7.
- The token name fills in automatically. You can change it.
- Click Save.
- Copy the Token ID and Token Secret.
The Token ID and Token Secret are also shown only once. If they are lost, you will need to generate a new access token.
9. Connect in Bookkeep
- In Bookkeep, go to Connections > Accounting.
- Choose Connect to NetSuite.
- Paste in all five values, then click Save.
- Click Test. You should see NetSuite connection test successful.
