Failed Journal Entry Notifications are automated alerts that occur when Bookkeep is unable to successfully post a journal entry to your accounting platform (QuickBooks, Xero, Zoho, etc.). These notifications are designed to help you quickly identify and resolve issues that could impact the accuracy and completeness of your financial data.

Why Journal Entries Fail

Journal entries may fail to post for various reasons, including:

  • Missing Account Mappings: Required accounts haven't been properly mapped in Bookkeep
  • Incomplete Cost Data: Missing or incorrect cost information for products/variants
  • Connection Issues: API connection problems between Bookkeep and your accounting platform
  • Accounting Platform Restrictions: Such as closed accounting periods
  • Permission Issues: Insufficient user permissions for creating journal entries

Notification Features

When a journal entry fails to post, you'll receive a notification that includes the following:

  • Date: The date impacted
  • Platform: The affected sales channel (Shopify, Amazon, Square, etc.)
  • Error Details: Specific error message causing the failure
  • Recommended Actions: Actions to resolve the issue, e.g. map, post, add costs, etc.

Best Practices

  • Regular Monitoring: Check notifications daily to prevent backlog of failed entries
  • Immediate Resolution: Address failed journal entries promptly to maintain accurate financial reporting
