Square: Post Discounts by Product or Discount
When completing a journal entry mapping, we have categories and subcategories. Categories are required to be mapped, or else the journal entry will fail to post to your accounting software. See below for an example showing Gross Sales as the category and the subcategories beneath it:
The subcategories can be located for a specific journal entry line by clicking the caret on the right, as shown below. If this caret is not present, it means this line does not have any subcategories:
Optional Subcategory Mapping
The subcategories are optional to map. In the case of the Square Summary, we offer the discount title/code or the product category from Square as subcategories for Discounts. This means you have the option to break down discounts by product category or discount title.
Creating Accounts with the Magic Wand
If you don't have accounts set up in your accounting platform, click on the "Magic Wand" button to the right, as shown below, which is visible per line. This will create an account in your accounting platform and map that line to this newly created account:
Once this account is created and mapped, the discount will be posted to the account in your accounting platform to give you insight into performance.
Changing the Default Discount Posting Method
The default discount posting method for Square is by product category. However, if you would like to change this rollup to per discount title, visit the "Connections" page and "My Apps" tab. From here, locate the Square connection and click “Setup” to expand the connection options to then locate "Configure," as shown below in blue. When clicking "Configure," this will open a modal to change the "Discounts Rollup Method."
Below is the view with the Discounts Rollup Method option where you can select Product (default) or Discount, which will impact the subcategories for the discounts line as discussed above:
When the discounts rollup method is set to Product, it will follow the product rollup method set for the Sales Rollup Method. That is, by product category.
