Mapping Tracking Category per Line for Enhanced Xero Reporting

Bookkeep supports selecting a tracking category per line for your journal entries to enable better reporting and tracking within Xero.

Tracking categories in Xero enable the following:

  • Set up tracking categories to see how different areas of your business are performing (such as departments, cost centers, or locations).

Selecting a Tracking Category per Line in Bookkeep

Bookkeep now enables you to select a tracking category per line for each journal posting to Xero. To select a tracking category in Bookkeep, you must have connected your Xero account and the financial apps providing the data to be synced into Xero.

Steps to Select a Tracking Category

1. Visit the "My Apps" Tab

Once everything is connected, visit the "My Apps" tab on the "Connection" page.

2. Select the Journal Entry

Click "Map" for a specific journal entry, such as the Sales Summary and Deposit journal entries:

3. Choose the Mapping Type

In the mapping view, find the “Mapping Type” dropdown. It will initially show “Chart of Accounts (required).” Click the dropdown and select the specific tracking category you want to map. This changes the view to allow mapping each line to a specific tracking category. In the example below, “Product” is a tracking category created in Xero.

4. Map Categories and Subcategories

In the tracking category mapping view, you can map both categories and subcategories. Once mapped, click “Save” at the bottom of the mapping.

When mapping each subcategory, you can apply the same tracking category to all subcategories by selecting “Apply above tracking category to subcategories.” This saves time when mapping the same tracking category to all subcategories.

5. Review the Posted Entries

You will now see the entries posted into Xero with the tracking category posted per line. The Product column shows the tracking category set up in Xero.

If you recently created a new tracking category in Xero, click “Refresh” in the top right of the mapping view to bring in new accounts or tracking categories.
